Our Annual General Meeting is to be held on Monday 21st September 2026 at Southern Golf Club after completion of the round. A proxy Voting form is attached – click here – which can be filled in electrically and emailed to mdvga@mdvetgolf.org

- · To consider and if thought fit to adopt the Annual Report, Balance Sheet and Statement of account for the year ending 30 June, 2026

- · To authorise completion & lodgement of the necessary Statement to be submitted by the Association in accordance with Part 7 of the Act

Update from President and Revised No Show and Late Cancellation Policy (April 2026)
Fellow members – a brief update on the 2026 season to date:
· encouraging numbers for the early part of the season, which reinforces member support for the clubs we played at.
· you will note a significant time gap between our most recent game at Box Hill and our next game at Rosanna on Monday, 13th April. For those that may not be aware, the club had scheduled a game at Sandhurst during this period, however, at relatively short notice, Sandhurst advised an excessive cost per player, so the club took the decision to cancel this event. This is becoming an all-too-common problem for our club.
· the game at Box Hill on March 2nd raised a significant issue of ‘no shows’ on game day – refer following details.
Following the event at Box Hill and subsequent MDVGA Committee meeting of 26th March, it is timely to remind members of their obligations when booking events and the cancellation policy for game day.
The key message is, for each event, once the booking sheet closes and the MDVGA advises the relevant golf club of our final numbers, in accordance with the T&C’s of the applicable golf club, we [MDVGA} are liable for the full cost for the number of players advised. You will appreciate ‘no shows’ on the day with, in some cases, no communication whatsoever, can leave our club financially disadvantaged.
Consequently, this advice is to reinforce the MDVGA ‘no show on game day’ policy, which is:
· in the event a member books an MDVGA event, does not cancel their booking and subsequently does not show up on game day, the club will request the member to reimburse the MDVGA for the full cost of the event [green fees + catering].
· the club understands there can be exceptional circumstances for a ‘no show’ and these will be treated on a case-by-case basis.
Further, to confirm the club’s booking procedure for each event:
· booking sheet opens at 5pm on the Monday before the event.
· booking sheet closes at 5pm on the Thursday Friday before the event.
o Note: to better manage our dealings with respective golf clubs, this is a slight timing change to previous arrangements.
· at close of the booking sheet, MDVGA will advise the number of players to the relevant golf club.
· after close of the booking sheet and before / on game day, the cancellation policy has been revised. All cancellations after close are to be advised by phone to either the Secretary, Cec Bailey on 0412 595 954 and/or the Captain, Don Hackett on 0418 105 521. If neither answer please leave a message.
o Note: The booking sheet will be changed to reflect the revised policy
The committee trusts the membership understands the need for this update, to be enforced for all future events.
